PDF Template Customization and Enhancement Options
Karthikeyan J
- HTML editor for PDF templates: This would let us customize the layout and styling the way we need it.
- Workspace-specific default templates: The generic template doesn't reflect our product, and that shows in the exported PDFs. We'd like each workspace to have its own branded template.
- Custom variables (placeholders): We can dynamically insert product names, guide titles, dates, and other metadata into the template. The current placeholders don't give us what we need
- Rich text/formatting on the "End Page": Currently there's no way to style the content
Increase the "End Page" description character limit from 500 to 1000+. We need more room for context.
Thank you.

PDF Template Customizations We'd Like to See
- Cover page: Add text formatting controls (bold, italics, underline, font size, horizontal rule) so we can style the cover page content to our needs. Also add a footer section on the "cover page" for extra information.
- Content page: Support styling for headings, tables, admonitions, images, and spacing between ordered/unordered lists.
- Terms & Conditions page: Make line spacing adjustable.
(Right now this page has text formatting options that the "Cover page" and "End page" don't, those should be brought in as well.)
- TOC page: Make line spacing adjustable.
- End page: Add the same text formatting options available on the "Terms & Conditions page", and raise the character limit to "at least" 1,000 to fit our content.
- Page numbering: Let us choose where numbering starts, from the "cover page" or from the "content page".
We're open to either dedicated UI controls for each of the above, or an HTML editor where we can apply our own styling directly.
Workspace level Default Templates:
We have 15+ workspaces, one per product, and PDF exports from the site currently pull a single generic template regardless of which workspace they come from. We don't want customers choosing a template themselves, that's a poor experience, so we need the ability to set a default template per workspace. This would let each export automatically reflect the correct product name and document type, without any selection required from the customer.
Example (see screenshot):
Workspace Name: Product A1 (which has User Guide)
Exporting from this published site should export a PDF with in content page:
*Product AI (Heading 1 Style)
*User Guide (Heading 3 style)
*Export Date: <Date when the PDF was generated>
Custom variables / placeholders:
We need to pull in fields like product name (not workspace name in our case) and guide name into the PDF template, whether that data lives in metadata, custom fields, or elsewhere. Give us the option to select which fields we want to surface, rather than limiting us to a fixed set of placeholders.
End Page: As described point #5 above.

Hi Traditional Mandrill, Karthikeyan J ,
Thank you for sharing these requirements. To better understand the current limitations, expected behavior, and scope of each request, could you please provide a few more details?
- HTML editor for PDF templates
What specific layout or styling limitations are you facing with the current PDF template options?
What level of HTML/CSS customization would you need?
Are there any existing PDF templates or examples you would like to replicate?
- Workspace-specific default templates
What limitations are you facing with using the generic/project-level template today?
How many workspaces would require their own branded template?
Should each workspace have a completely independent template, or should it inherit the project template with the option to customize it?
- Custom variables / placeholders
Which specific variables or placeholders are currently missing?
Where would these values come from—for example, article metadata, workspace settings, project settings, or custom fields?
Could you share an example of how you would use these variables in the PDF?
- Rich text/formatting on the End Page
What formatting options are currently missing—headings, bold/italic, lists, links, images, tables, etc.?
Is the 500-character limit the primary restriction, or are there other limitations with the End Page?
How much content do you typically need to add?
