We cannot export any content unless it is published. Since private publishing is unfortunately limited to enterprise accounts, we cannot share any private content with our customers. This requires us to export content in PDF. Yet it requires extra effort too. We need to publish the article very quickly, export it and unpublish it without anyone seing it. This entire process must be optimized.

Currently, when exporting PDFs at the category level using Content Tools → Export to PDF, only published articles are available for selection. Draft or unpublished articles are excluded, even if they are part of the selected category.
This creates a limitation for teams that need to generate PDFs for internal review, approvals, or pre-publication workflows where a full category—including its draft child articles—needs to be exported together. Supporting PDF export of categories with draft articles would improve usability for documentation teams working with staged or unpublished content.

It's not possible to export unpublished articles to PDF, but I sometimes need to share the PDF version of the guide for an upcoming version release before it's officially released, and before it can go live in the portal. I would like to be able to select which version of the article to export, published or draft.

Hi All - We also provide option to download the draft article against the individual article level from the top right context menu. Please confirm if this would suffice your need.

Hi All - How about private share link? private share link will allow the user to generate a link for the article before publishing it in the KB site. This will allow the users to generate the link and share it with the users who are not a part of the document360 (team accounts or reader groups).

Shakeer Hussain S actually the behaviour of the system has changed since I commented on this page. Previously, I was reporting that if there is a published v1 of an article and also currently a draft v2, the Export to PDF functionality in the portal omits the page article from the PDF, rather than including the published v1 of the article. Now, it does include the published v1 in the PDF if there is a draft v2. But, now there is a new problem, because if there is a published v1 of an article and also currently a draft v2, the article is not present to select in the Categories tree in the "Add categories and articles" window in the Export to PDF area of the portal.

In a scenario where content in a particular category has been published in the knowledgebase, but now one page in that category is draft (as v2) because an update to the page is in progress, the current Export to PDF functionality will omit from the generated PDF the page that is being updated. But this is wrong, because there is a published v1 of that page.
A user will see the v1 of the page in the knowledgebase, and if they request an export of the category of the PDF (which we would fulfil using the Export to PDF function) they will expect to see that v1 page in the PDF, because essentially their request is to receive a PDF export of what they see in the knowledgebase.

When I export the site to PDF, I can only select articles that are currently not in draft mode. I would like to be able to export all published articles, even those currently being worked on by other editors.
