Better search in general

The more I use the search engine, the more frustrated I am with it. It pays no attention to quotes, so when I search for "user site" it returns every article that has the word "user" and the word "site" in it. Some of the results only have one term or the other! That's unacceptable.

What is frustrating me the most about the current search is that it seems to ignore article names. Take a look at this. Why is "Host Guideline" found before "Development Server List". The former does not even contain the word "server"

We see some room for improvement as well.
One of our users was so kind as to provide succinct & specific ideas for improvement, so I'll quote:
Example: Searching for “update article contributors” on https://docs.document360.com
When I enter the query _update article contributors_, I would expect pages specifically about that topic—ideally containing the exact phrase—to show up as the top result.
However, the search engine instead returns many loosely related pages where only the word “article” is present—often in completely unrelated contexts (e.g., glossary, article settings)
See the attached screenshot as an example.
Expected Behavior
Search results should prioritize:
- Exact phrase matches when quoted
- High semantic relevance (i.e., not just keyword presence)
- Pages where all search terms appear in proximity and in the same order
Actual Behavior
- Pages are ranked primarily by the presence of a single keyword (e.g., "rules")
- The actual user intent is ignored
- Noise dominates the results, making the system unreliable for documentation lookup
Impact
This reduces trust in the documentation portal's search and significantly slows down navigation—especially when trying to find critical business concepts like engagement models or process definitions.

The main purpose of a good doc site is to make easy to get information, yet search functions are totally lackluster and for some reason an afterthought. There should be option to specify weights: Based on page title, tags, etc. Also, ways to remove duplicate content pages from results.

We have an issue with search too that we just stumbled across. Technicians when they cannot find a document with whatever keyword they are using report that using the document feedback or no result found feedback. Once I get that through the feedback manager I find their document and add the keywords they were trying to use as tags.
Unfortunately though search does not seem to use this growing library of tags using just the search bar.
We found you have to go into advanced search and use the drop down for tags.
This is not how we envisioned the tags feature, nor was it explained that way to us.
If tags are added to a document then entering that tag in the search bar should list any document that has that word in it's title or body, and should also show any document that has that tag set in the document settings.

search overall is far superior to our previous platform but these are excellent suggestions for power searches.

Exact phrase search (any string inside quote marks) and Boolean AND search (e.g., cat AND dog) would be very welcome additions to the search. The default Boolean OR search alone isn't good enough once you have a large KB.

Cyn Newman - I'm genuinely sorry to hear about the challenges you're facing with our search engine. I understand how important it is for search results to be accurate, especially when using quotation marks to specify exact terms. We'll thoroughly investigate this matter to enhance the search experience for you. Your feedback is invaluable to us, and we truly appreciate your patience as we work on resolving this.
Would you be able to provide a screenshot highlighting the issue you mentioned? This will assist us in pinpointing the precise challenge and devising a more effective solution. Thank you!
